PettyBuddy helps companies track employee expenses through WhatsApp. This policy explains what data we collect, how we use it, and how we keep it safe.

Data we collect

• Company name, contact details, and billing information.
• Employee names and work contact details added by the company.
• Receipts, photos, PDFs, and messages forwarded to our WhatsApp number.
• Extracted expense data such as merchant, date, amount, tax, and category.

How we use your data

• To read, categorise, and log expenses using AI.
• To generate reports for the company and employees.
• To respond to questions sent through the WhatsApp assistant.
• To improve accuracy and fix errors in our service.

WhatsApp messages

We only process messages sent directly to our registered WhatsApp number. We do not access or read your private chats, groups, or contacts outside the PettyBuddy conversation.

Who can see the data

Employees can view and retrieve their own receipts and expense details. Company admins and authorised finance users can view all expenses submitted within their workspace. We do not sell or share data with third parties for advertising.

Security and retention

Data is encrypted in transit and at rest. We retain expense records while your account is active. You can request deletion of your data at any time by contacting us.
